Member Watson asked if staff makes use of City resources when acquiring products in order to achieve savings in bulk purchases and leases. Director General Frazer confirmed that staff continues to work with the City Purchasing department when acquiring products and takes advantage of existing standing offers and agreements, as was done with this Microsoft purchase.
That the Ottawa Police Services Board approve the renewal of a Microsoft Enterprise Agreement through Compugen Inc. for a three-year term from 01 July 2012 to 30 June 2015 at an approximate annual cost of $345,637.68, excluding taxes.

Chair El-Chantiry wanted to know when a complete facilities report would be brought forward to the Board. Ms. Frazer explained that a facilities update would be presented to the Board’s Finance & Audit Committee in August. A complete facilities report will be coming to the Board in the fall; outlining the strategic areas that need additional space and for what purpose; Corporate Support and Services is one such area.
That the Ottawa Police Services Board:
1. Approve the execution of a Lease Amendment for 19 Fairmont Avenue to add 2,213 sq ft to the existing Lease under the same terms and conditions of the original 2009 lease, commencing August 1, 2012.
2. Delegate authority to the Chief of Police to complete all required tenant fit-up, project management and furniture and equipment acquisition in an amount not to exceed $200,000.

Regarding the 2012 resolutions, Member Watson asked if staff had any issues or concerns that the Board should be made aware of. Chair El-Chantiry explained that the Policy & Governance Committee would be meeting to review and prioritize the resolutions prior to the August Conference and OPSB attendees would be provided with the results.
That the Ottawa Police Services Board:
1. Receive for discussion the Resolutions attached at Annex A due to be considered at the 2012 Canadian Association of Police Boards’ (CAPB) Annual Conference on August 17, 2012.

2. Refer the Resolutions to the Policy & Governance Committee to rank the resolutions in order of priority and submit them to the CAPB on behalf of the Board.

Chair El-Chantiry expressed his thanks and appreciation to both OPS and City staff who worked hard to make this happen. There are now three emergency services (fire, police and paramedics) housed together and he hopes to see more joint accommodations in the future.
Member Watson echoed the Chair’s comments and thanked staff for following through and actually getting a better deal by saving money and co-locating emergency services. He feels this is a “win-win” solution for the City, the Police and the Community.
